Office Assistant

Job Summary

The Office Assistant will be responsible for performing general office-related functions to maintain an efficient office environment at Garcia Mining Company.  

Role / Responsibilities

  • Perform all office duties such as managing correspondence, filing, typing, copying, scanning, answering phone calls, relaying messages and communicating with team members, vendors, carriers, customers, etc. via phone, e-mail, in person, and greeting and assisting visitors. 
  • Maintain physical and digital files, organize documents, and ensure accurate record-keeping. 
  • Monitor office supplies to ensure adequate stock levels, and assist with ordering as needed.  
  • Perform data entry, create and maintain records and reports, as needed. 
  • Prepare purchase orders, review corresponding invoices for discrepancies, and submit accordingly. 
  • Ensure the office is organized and presentable, coordinating maintenance as needed. 
  • Resolve administrative issues while looking at areas for improvement. 
  • Maintain professional and respectful conduct when interacting with others. 
  • Coordinate and schedule meetings, including staff training events or programs. 
  • Assist management as needed regarding workers compensation, MSHA compliance, reporting, and certification renewals. 
  • Assist with maintaining safety data sheet books for all chemicals on property. 
  • Provide translation services as needed (if applicable). 
  • Adhere to all policies, safety rules, guidelines, and codes; understand and comply with MSHA regulations.  
  • Maintain successful community relations with adjacent landowners and community. 
  • Represent the company with high integrity, consistent with company core values.  
  • Perform work related errands as requested.
  • Perofrm all other duties as assigned. 

Experience / Skills Required

  • Ability to demonstrate highest degree of integrity and confidentiality.
  • Strong organizational, time management, planning, and multi-tasking skills.  
  • Attention to detail, ensuring accuracy in data entry, record keeping, and other tasks. 
  • Providing excellent service to visitors and colleagues is crucial, via in person, over the phone, and through written correspondence. 
  • Excellent oral and written communication skills. 
  • Proficient technical skills, including use of standard office equipment and administrative procedures. 
  • Excellent computer skills and knowledge of MS Office Suite (Outlook, Word, Excel).
  • Self-motivated and proactive approach to work. 
  • Ability to analyze and suggest operating practices to improve efficiency. 
  • Ability to manage multiple, changing priorities at once and calmly navigate through unexpected challenges. 
  • Ability to work independently and as part of a team. 
  • Valid driver’s license. 

Experience / Skills Desired

  • 2 years’ experience in an office environment. 
  • Bilingual (English and Spanish). 

Physical Demands / Work Environment

  • Ability to lift up to 25 pounds. 
  • Prolonged periods sitting at a desk and working on a computer.
